Configure your Gmail account to use IMAP

To configure your Gmail account to use IMAP, log in to your Gmail account and go to Mail.

Click the Settings button in the upper right corner of the window and select Settings from the drop-down menu.

On the Settings screen, click Forward and POP / IMAP.

Scroll down to the IMAP Access section and select Enable IMAP.

Click Save Changes at the bottom of the screen.

Allow less secure applications to access your Gmail account

If you are not using password authentication 2 factors in your Gmail account (even though we suggest you do), you will need to allow less secure applications to access your Gmail account. Gmail prevents less secure applications from accessing Google Apps accounts because these applications are easier to access. Blocking less secure apps helps keep your Google account safe. If you try to add a Gmail account that does not have authentication for 2 triggered factors, you will see the following error dialog.

It is better to enable the authentication of 2 factors in your Gmail account, but if you really prefer not to, visit Google's less secure apps page and log into your Gmail account if prompted. Subsequently, turn on Access for less secure apps.

Add your Gmail account to Outlook

Close your browser and open Outlook. To start adding your Gmail account, click the File tab.

On the Account Information screen, click Add account.

In the Add Account dialog, you can select the Email account option that automatically sets up your Gmail account in Outlook. To do this, enter your name, email address and password for your Gmail account twice. Click Next. (If you are using two-factor authentication, shall get one “app password” get one.)

If the automatic procedure fails, select Manual configuration or additional server types, instead of Email account, and click Next.

On the Select Service screen, select POP or IMAP and click Next.

In the POP and IMAP account settings, enter user information, server and login. For Server Information, select IMAP from the Account Type drop-down list and enter the following for the incoming and outgoing server information:

  • Incoming mail server: imap.googlemail.com
  • Outgoing mail server (SMTP): smtp.googlemail.com

Make sure to enter your full email address for the username and select Remember password if you want Outlook to automatically log you in when checking email. Click More Settings.

In the Internet Email Settings dialog box, click the Outgoing Server tab. Select My outgoing server (SMTP) you need authentication and make sure the Use the same settings as my incoming mail server option is selected.

While still in the Internet Email Settings dialog, click on the Advanced tab. Enter the next information:

  • Incoming server: 993
  • Incoming encrypted server connection: SSL
  • Outgoing server encrypted connection TLS
  • Outgoing server: 587

NOTE: You must choose the type of encrypted connection for the outgoing server before entering 587 for outgoing server port number (SMTP). If you enter the port number first, the port number will return to the port 25 when you change the encrypted connection type.

Click OK to accept the changes and close the Internet Email Settings dialog..

Click Next.

Outlook tests the account settings by logging into the incoming mail server and sending a test email message. When the test is over, click Close.

Your Gmail address is displayed in the account list on the left with any other email addresses you have added to Outlook.. Click on Inbox to see what's in your Inbox in your Gmail account.
