How to embed fonts in a Microsoft Word document

When you email someone a copy of your Word document or PowerPoint presentation and you don't have a font installed, Microsoft Office displays that document with the default font. This can mess up the whole layout and make the document look completely different., but you can fix it by embedding fonts in your documents.

How does this work?

When you enable this option, Office takes the font file from your system and embeds a copy in the Office document. This increases the size of the document, but anyone who opens the document will be able to see the document with the desired font.

You can only do this in Windows versions of Microsoft Word, PowerPoint y Publisher. This does not work on Mac, iPhone, iPad, Android o versiones web de Word o PowerPoint.

This at the same time only works if the font you are trying to embed makes embedding possible. The font files on your system have “embed permissions”. Office respects these permissions, so you may not be able to embed some fonts or the resulting document may not be editable after embedding the fonts. In other words, the recipient may only be able to view and print the document, don't edit it. It depends on the fonts you are using.

How to embed fonts

To embed a font, click on the menu “File” while working on a document in Windows versions of Word, PowerPoint o Publisher.

Click on the link “Choices” at the bottom of the menu that appears.

Click on “Keep” in the left panel.

On “Maintain fidelity when sharing this document”, check the option “Embed fonts in the file”.

To reduce the file size of the resulting document, be sure to check the option “Embed only characters used in document (best to reduce file size)”. Office will only embed a font if it is used in the document. Opposite case, Office will embed other fonts on your system in the file, even if you haven't used them.

Leave the option enabled “Embed fonts in the file”. This at the same time will help reduce the file size by skipping the Windows system fonts that the recipient has likely installed.

Click on “To accept” to save your changes and save the document regularly. The fonts you used in the document will be embedded in the file.
